BillSys is a specialized maritime invoice system, which can be tightly
integrated with Phaeros’ Port Management & Community System “Harbour View”
or with the Multi-Purpose Terminal Management System “Cargo System”. It can even
be implemented in conjunction with any other application that registers the
quantum of services rendered in a port or at a
terminal.
Invoicing is a crucial business aspect, which is faced by a number of
challenges. For example:
Every customer has its own contract and applicable tariffs
Tariffs can be very complex, in function of volumes, special discounts,
overtime charges, …
Different activities and services need to be
invoiced
Manual invoicing is prone to human errors or in some cases even
fraud
There is sometimes a significant time lag between completion of the works
and invoicing
...
The solution: Phaeros BillSys
BillSys can address the invoicing challenges at a port or terminal. All
contracts and contract conditions are stored electronically in BillSys and each
activity performed in the port will be linked to the relevant contract, leading
to all-inclusive and automated invoicing.
BillSys starts with a robust, but flexible definition of each contract
the port or terminal has.
Contracts are defined for a particular validity period, using a certain
currency, in a certain language of the invoice, etc.
Each contract contains one or more contract lines for all typical
billable activities at a port or in a terminal, e.g. anchorage fee, water
supply, discharging, loading, move, storage, services, ….
BillSys contract lines can also be different per type of commodity,
required equipment, profit centre, applicable VAT, …
Invoicing rates can be flat or graduated (volume based discounts).
Different units of measurement can be used: quantity, length, weight, ….
Through its interface with a system that keeps track of operations (e.g.
Harbour View, Cargo System or other) BillSys will then generate the invoices,
either per vessel call or for a certain period of
time.
BillSys can also be interfaced to third-party accounting or financial
systems.
